Tax record workflow
How to organize receipts for taxes without expensive software
Capture each receipt while it is readable, verify the merchant, date, total, tax, and currency, add a useful category or project, then export the records your accountant needs. Keep the original receipt image attached to every entry.
General record-organization guidance, not tax or legal advice. Last updated August 1, 2026 by the Receipt Vault product team.
Preserve the source record
Photograph or import the receipt before paper fades or gets lost. A structured total is useful, but the original image remains the evidence you may need to review later.
- Capture the full receipt
- Avoid glare and shadows
- Keep the original image
- Do not discard records solely because OCR succeeded
Review before you classify
OCR quality varies with layout, print quality, folds, focus, and lighting. Verify high-impact fields before saving, then add the category, project, client, or note that will make the receipt understandable months later.
- Merchant
- Purchase date
- Total and tax
- Currency and business purpose
Export for the person doing the tax work
Use CSV for structured review, PDF for a readable report, or ZIP when images and data need to travel together. Confirm the required format and retention rules with a qualified tax professional in your jurisdiction.
- CSV records
- PDF reports
- ZIP with data and images
- Encrypted backup for your archive
What Receipt Vault does not promise
OCR is not guaranteed to be perfect. Receipt Vault is not accounting, tax, legal, or financial advice, and it does not automatically sync across devices.
Compare receipt workflowsQuestions before you decide
Does Receipt Vault decide whether an expense is tax deductible?+
No. It organizes receipt records and does not provide tax advice. A qualified professional should confirm deduction and retention rules.
Do I still need the original receipt image?+
Keep the original image attached to the record. Requirements differ by jurisdiction and situation, so do not rely on OCR text alone as proof.
What if the OCR amount is wrong?+
Edit the recognized value before relying on it. Receipt Vault is designed for review, not for claiming perfect recognition.
